How we look after your information

Who we are

What we keep

• From enrollment: your child's name, date of birth and class; the parents' names and contact details; the people allowed to pick your child up; and any health information you give us, such as allergies or medicine.
• While your child studies with us: attendance, progress reports, invoices and payments.
• Photos and videos taken in class, on trips and at events.
• Messages you send us by email, Zalo, WhatsApp, Facebook or the contact form on this website.

What we use it for

To teach and look after your child, keep them safe (who may collect them, what to do if they are unwell), write progress reports, send invoices and receipts, and keep in touch with you. We use photos to share your child's day with you and to show families what happens at PRA. We do not sell your information or pass it to advertisers.

Photos of children

• If you do not want your child's photo shared, tell the office. We keep a no-photo list, and every photo is checked against it before it goes on Facebook or this website.
• Photos waiting to be checked are kept in private storage that only office staff can open.
• Before a photo is posted, we remove the details a camera hides in the file, such as where it was taken and whose phone took it.
• If you want a photo taken down, tell us and we will remove it from this website and our Facebook Page.

Who can see it

Only PRA staff who need it for their work. Teachers see what they need for their classes; invoices and payments stay with the office. We keep our records in our own office system, which only staff accounts can sign in to, and we use Google for email and documents. Messages you send through Zalo, WhatsApp or Facebook are also held by those services.

We share information outside PRA only when you ask us to, or when the law requires it.

How long we keep it

While your child studies with us, and afterwards for as long as our accounts or the law require. Photos on this website and our Facebook Page stay up unless you ask us to take them down.

Your choices

You can ask to see what we hold about you or your child, to have it corrected or deleted, or to stop us using your child's photos. Email admin@palmriveracademy.edu.vn or ask at the office. We will not delete records the law requires us to keep, such as invoices, and we will tell you if that applies.

This website

This website sets no cookies and uses no tracking or analytics. Its fonts come from Google Fonts, so your browser asks Google for them. If you use the contact form, what you type is saved in our office system, where only office staff can read it.

The enrollment form is saved the same way. Passport and ID numbers, the documents you attach and your signature can be opened only by the person in charge of enrollment records. While you fill the form in, your answers are kept in your browser so that a reload does not lose them; they are cleared when you send the form or close the tab.

Our Facebook app, The Current

Our staff post to the Palm River Academy Facebook Page from our office system, through a Meta app called The Current. The app posts only to our own Page. It is used only by PRA staff, and it does not collect or keep any information about people who see, like or comment on our posts.

Deleting your information

The Current holds no information about Facebook users, so there is nothing in it to delete. To have anything else we hold about you deleted, email admin@palmriveracademy.edu.vn with the subject "Delete my information". We will delete it and reply to confirm, apart from records the law requires us to keep.
